The Role:

Reporting to and assisting the HSQE Compliance and Governance Manager, the post holder will:

  • Monitor and prioritise urgent enquiries that come through to group mailbox along with personal emails.
  • Acting as first point of contact for all staff for telephone enquiries.
  • Directing information/work to HSQE Team Advisors.
  • Monitor compliments/complaints.
  • Monitoring Incidents, Minor or Major or even potential RIDDORs.
  • Working on Excel, completing data entry.
  • Working on all Microsoft Software.
  • Produce weekly conference call reports.
  • Managing the quality of documentation. Making sure its indexed, controlled, and uploaded onto our systems.
  • Maintain records and monitor follow-up action/non-conformance from Management Systems reviews, internal and external audits; taking appropriate action and reporting to the HSQE Compliance & Governance Manager as required.
  • Manage meetings i.e. booking rooms, televisions, projectors etc. As well as minute taking.
  • Cover reception (30minutes, lunch time cover 1 day a week).
  • Logging sensitive information such as Personal Risk Assessments.

  • HSQE Compliance and Governance Manager and Advisors.
  • Certification Services.

Main Activities:

Strategic Management

  • Assist in the development and maintenance of ISO 9001, 14001 and 50001 procedures for the company, their clients and partners
  • Assist with the development of a programme of audits and inspections. Assist in the development and monitoring of Environmental Improvement plan.

Health and Safety Accident Reporting

  • Responsible for the daily management of the accident and near miss system, including the completion and subsequent monitoring of all RIDDOR related accident investigations, injury lost time and regional head sign off.

HSQE Management Systems

  • Assist with the development and management of internal and external systems of audits.
  • Review results of internal and external audits.
  • Monitor and follow up with management teams for corrective and preventative actions to comply with HSQE standards providing management reports for Senior Leadership Team.

Level of Autonomy and Decision Making:

  • Book meetings, taking and producing supporting documents.
  • Responsible for maintaining team documents on intranet.

Current Objectives of the Job

  • Main contact for HSQE Compliance and Governance team, managing central call and email.
  • Maintain and update HSQE documentation.
  • Assist in achievement of ISO 9001, ISO 14001 and ISO 50001 accreditation for the company and partners.
  • Assist with the development of new systems, initiatives, and accreditations.
